Reporting Manager: Director, Programs & Planning
Job Description: The Commercial Portfolio & Facilities Manager is responsible for managing the day-to-day requirements of CHDC’s commercial property portfolio, including rental facilities. CHDC’s commercial portfolio includes 50+ commercial tenants, primarily retail storefronts, but also cultural and office tenants in two office buildings. Rental facilities include Clinton Cameo Studios and several community rooms and gardens housed in CHDC residential buildings. The Commercial Portfolio & Facilities Manager handles the administrative management of all CHDC commercial and rental properties and is on-call during the week and assigned weekends and holidays on a rotational basis.
Responsibilities:
Administration
• Oversee the management and administration of commercial tenants and rental facilities ensuring 100% compliance with CHDC policies and procedures.
• Review and approve all bills and invoices for commercial tenants.
• Work in conjunction with Director of Operations & Maintenance when obtaining bids, contracting, processing payment requests and verifying work milestones to complete maintenance and renovation projects for assigned properties.
• Assist Asset Manager in assessing and curing all HPD, Sanitation, Fire and Buildings Department violations assigned to the commercial portfolio. Act as primary contact person for city agencies when necessary.
• Represent CHDC in court cases that may involve rent settlements, evictions, harassment, etc.
• Represent CHDC in the local business and real estate community in order to promote CHDC’s reputation and capabilities to prospective tenants and clients.
• Work with brokers to show vacant spaces to potential clients.
• Conduct and manage tenant screening processes and tenant selection jointly with senior staff.
• Review, coordinate and assist in the preparation and execution of leases for commercial tenants.
• Jointly with Director of Programs & Planning, create and execute strategic plans to promote rental spaces.
• Administer scheduling software, virtual passes and payments for Clinton Cameo Studios bookings.
• Jointly with Director of Programs & Planning, develop CHDC staff and public protocols for community space rentals
• Administer scheduling and payment software for community room and garden bookings.
Inspections
• Ensure that regular property inspections and maintenance procedures occur, including but not limited to fuel delivery, fire safety, boilers, mechanical systems and extermination for all commercial properties.
• Work in conjunction with senior staff to process tenant maintenance and improvement requests for all commercial properties.
• Be available for management of after-hours, weekend and holiday issues as support for on-call supers.
• Responsible for tenant compliance with CHDC standards for site improvements, amendments and systems.
Reporting
• Produce weekly reports of commercial portfolio open tasks for review by senior staff.
• On a monthly basis, review rent arrearages for tenants and coordinate rent recovery procedures and/or commence legal actions.
• Monitor complaint log daily, process all requests and concerns as necessary.
• Submit rent roll adjustments for all rent roll changes to the Department of Finance for approval.
• Attend weekly/monthly staff meetings.
• Attend job related workshops and trainings.
Minimum Qualifications
• 3+ years of commercial property management experience including familiarity with building systems, lease negotiation, documentation and administration.
• Experience with a diverse range of commercial tenants
• Ability to prioritize and effectively manage multiple tasks and work within tight deadlines
• Strong written and verbal communication skills
• Familiarity with MS Office Suite and commercial management software
• Excellent administrative and organizational skills
• Knowledge of Spanish language a plus
Salary Range
$60,000-$65,000

Job Description:
NAT URE OF WORK
The On-Call Front Desk Clerk is responsible for monitoring the security of the building, basic data entry, answering all incoming phone calls, attending to the walk-in public, and notifying the building manager of any emergencies.
RESPONSIBILITIES
• Answers and monitors incoming telephone calls.
• Greets and provides information and services to the walk-in public.
• Receives complaints from all CHDC managed or owned buildings.
• Transcribes recordings of letters and meeting minutes.
• Enters data into computer system.
• Basic typing, filing and copying as necessary.
• Additional task as assigned by Supervisor
MINIMUM QUALIFICATIONS
Education and Experience
One year of prior similar experience.
Knowledge, Abilities, and Skills
Ability to learn while on the job; good writing skills; ability to work independently and well under stress; interpersonal skills, good computer and word processing skills.

Senior Accountant

Job Description: Nature of Work
The Senior Accountant is responsible for coordinating and maintaining all accounting activities concerning billing, accounts payable and accounts receivable.
Responsibilities
· Corporate AR - Prepare all monthly, quarterly billing for main corporation including Partnership Management Fees, Property Management Fees, Repair and Maintenance Fees, Administering Agent Fees, Development Consulting Fees, etc. and maintain schedules
· Complete monthly Financial Reports for all entities for distribution to various interested and invested parties including clients
· Review monthly contract vouchers and reports prepared by Contracts Administrator
· Ensure all monthly utility payments including Con Edison, Real Estate Tax, Water & Sewer, Insurance are paid timely by Audit Bookkeeper and is accurately tracked
· Monitor AR, AP and General Ledger for deposit errors and entry errors, etc. Make necessary corrections
· Prepare wires and bank transfers
· Assist Director with monthly reconciliation and close procedures
· Assist Director in setting up quarterly financial reports for all LP’s
· Process annual journal entries to record depreciation, amortization and bad debt expense
· Assist Director in creating annual budgets and cash flow projections
· Assist Director in monitoring general ledger and various financial analyses
· Work with Director to complete quarterly and annual audits
· Ad hoc financial analysis as requested by Director
Minimum Qualifications
Education and Experience
Bachelors Degree in Accounting plus Minimum three years of experience in not-for-profit organizational bookkeeping, including general ledger, accounts payables and receivables; or Masters Degree in Accounting plus one year of relevant work experience
Knowledge, Abilities and Skills
Computer literacy including MS Office; excellent organizational and mathematical skills; ability to prioritize multiple projects; ability to meet deadlines; excellent oral and written communication skills
